Search Archived Board & Commission Documents

Document Type search allows users to search for documents based on specific document type, such as meeting agendas, approved minutes, architectural drawings, meeting schedules, public comments, public notices, resolutions, and staff reports.

The best way to search for all meeting documents pertaining to a particular meeting is to:

1. Select or Enter a Meeting Start and End Date
   (if you do not know the actual meeting date you can enter an approximate date range).
2. Select the applicable review board under Boards & Commission.
3. Leave the Type of Document field blank.
4. Leave the Keyword search field blank.
5. Click Search (or Click Reset to clear your search criteria).
6. Under the search results, click the Open New Window Icon to open the document in Full Window view.

Keyword search allows users to search for documents based on specific terms in the document title.

The best way to search for a particular architectural drawing, resolution, or staff report is to use the Keyword search field:

1. Select or Enter a Meeting Start and End Date
2. Select the applicable review board under Boards and Commission (or leave blank if unknown).
   If you do not select a Boards & Commission, the system will search all review boards.
    
3. Select a document type (architectural drawings, resolutions, or staff report)
4. Enter a search criterion surrounded by asterisk “*”.

• For architectural drawings, type in part of the address surrounded by asterisks “*”.
  For example, type *100 E Carrillo*

Tip: For street directions, just type E (no period after), not East

Tip: For best results, do not include Street, St., Avenue, Ave., Lane, etc.

• For resolutions, enter a word that was part of the resolution title surrounded by asterisks “*”.
  For example, you want to find the resolution for a Junipero Street address, then type *Junipero St*

• For staff reports, enter a word that was part of the staff report title surrounded by asterisks “*”

5. Click Search (or Click Reset to clear your search criteria)

6. Under the search results, click the Open New Window Icon  to open the document in Full Window view

A full-text search allows users to retrieve results from the textual information of the document. By entering keywords or phrases, the system will return results that match the search criterion to locate specific text. The system allows the use of Boolean search operators to help refine search results (refer to Boolean Search examples below).

1. Enter Search Term.
2. Select or Enter a Meeting Start and End Date (or leave blank if unknown).
3. Select the applicable review board under Boards and Commission (or leave blank if unknown). If you do not select a Boards & Commission, the system will search all review boards.
4. Select a document type (optional).
5. Click Search (or Click Reset to clear your search criteria).
6. Under the search results, click the Open New Window Icon to open the document in Full Window view.

Here are some Boolean Search examples:

• Quotation Marks. If you enter the search term “ADA Transition Plan” (with quotation marks), the system will return documents that contain the words ADA Transition Plan. When you enclose a phrase in quotation marks, like “ADA Transition Plan”, it tells the system engine to look for that exact phrase in the specified order.

• AND Operator. If you enter the search term “ADA” AND “Transition Plan”, the system will return documents that contain both words, ADA and Transition Plan. The combination of the quotation marks and the AND operator narrows down the search, ensuring that the results contain both of the specified keywords.

• OR Operator. If you enter the search term “ADA” OR “Transition Plan”, the system will return documents that contain either word, ADA or Transition Plan. The combination of the quotation marks and the OR operator broadens your search by including at least one of the specified words.

• No Operators. If you enter the search term ADA Transition Plan, the system will return documents that contain the variations of the words ADA, Transition, or Plan. For example, the search results will return documents containing words like Adapt, Transitional, and Planner.
